Separate preparation from action.
Models can help classify a customer email, surface related records or prepare a reply. These steps are supportive. Sending an external message, committing to a price, changing an invoice or closing a customer dispute may have real consequences. Those actions require a different standard of control.
What a useful approval screen shows.
- The original request and relevant source information.
- What the system proposes and why.
- The exact external action awaiting approval.
- Uncertainties, missing information and any exceptions.
- A record of who approved or rejected the action and when.
Approval is not a substitute for sound data handling.
Access boundaries, appropriate processing agreements, retention rules and error management still matter. Approval complements those controls; it does not replace them.
The practical test
Could a responsible colleague look at the case and understand what the automation did, what it did not do and what will happen next? If the answer is no, the workflow needs simplification.
