The problem

An enquiry arrives. Then what?

The problem is rarely just a missing tool. It is the space between receiving a message and making sure someone takes responsibility for it.

01

Requests land in different places.

Website forms, shared inboxes and CRM records do not always tell the same story.

02

Ownership stays unclear.

Everyone can see the enquiry, but no one knows who is meant to answer it.

03

Follow-up relies on memory.

Busy people lose track of next steps when reminders live in scattered messages.

04

Managers lack visibility.

Unanswered requests and unusual cases stay hidden until someone asks what happened.

The approach

From incoming request to clear next step.

We design a straightforward process first. Then we connect the parts your existing stack can support.

  1. 01 / RECEIVE

    Bring enquiries together

Identify the relevant intake channels and create a consistent record with the context your team needs.

  2. 02 / ROUTE

    Give each request an owner

Use agreed business rules to assign responsibility and flag ambiguous or urgent cases for human review.

  3. 03 / FOLLOW UP

    Make progress visible

Track status and next actions, with reminders or appropriate acknowledgements where agreed.

  4. 04 / REVIEW

    Understand what is waiting

Show unresolved requests, exceptions and useful operational measures so the process can improve.

Prefer to try the logic first? The interactive lab uses fictional requests and runs entirely in your browser.

What a scoped delivery can include

A clear piece of work. No mystery around it.

A final proposal names the specific systems, supported channels, dependencies, responsibilities and acceptance criteria. These are possible components, not a claim that a universal product is already deployed.

Intake & data mapping

Agreed request sources, required fields and sensible handling of duplicates.

Routing & ownership

Assignment rules, exceptions, handover points and visibility into who acts next.

CRM & tool integration

Feasibility checks and connections to compatible systems using approved access.

Follow-up visibility

Reminders, status updates and carefully scoped customer messages, when appropriate.

Testing & handover

Documented acceptance cases, failure paths, operational ownership and a practical transition.

What this does not promise

No guaranteed lead generation, conversion uplift, universal CRM compatibility or fully autonomous sales conversations. We do not recommend automated outreach where it does not belong.

A sensible first project

Start with one workflow. Build confidence before complexity.

A good working relationship should feel organised from the first conversation. You should know what happens next, what is being tested and what you will own when the work is delivered.

Request a scoped quote
  1. 01

    Understand the current process

Review intake channels, existing tools, request volume, team responsibilities and constraints.

  2. 02

    Agree on the first release

Define supported cases, integrations, permissions, failure handling, a timeline and a written quote.

  3. 03

    Test, review and hand over

Check real-world scenarios with approved test data, document exceptions and agree on ongoing ownership or support.

A transparent example

See the decisions before you buy the system.

The live browser demo illustrates how a request could be categorised, assigned and reviewed. It uses synthetic inputs, no customer records and no CRM connection.

Before we talk

Good questions deserve clear answers.

We would rather explain a limitation early than sell you an integration that will not work.

Does this bring us more leads?

No. It helps your team handle enquiries you already receive. It is not a lead-generation service and does not promise new revenue.

Do we need to replace our CRM?

Usually not. We review your forms, inboxes and CRM first, then confirm which integrations are technically possible. A replacement should not be the default.

Will it send automated follow-ups?

Where appropriate, rules can trigger acknowledgements or reminders. Customer-facing messages require agreed wording, permissions, safeguards and an opt-out approach where relevant. People remain responsible for conversations that need judgment.

Does it use AI?

Not necessarily. Reliable rules come first. AI can be considered for unstructured requests when the benefit justifies the added checks, costs and risks.

How much does a pilot cost?

The scope, systems, access requirements and support needs determine the price. We review those first and provide a written quote rather than invent a one-size-fits-all price.

What happens when something fails?

A production scope needs error visibility, retry or recovery procedures where suitable, named ownership and a documented manual fallback. No automation can guarantee third-party services are always available.
